Administrative Assistant-PR

San Juan, Puerto Rico

Overview

Seeking a motivated and organized Administrative Assistant to work in our innovative, highly respected, and dynamic engineering firm in San Juan, Puerto Rico. This position will wear multiple hats and handle a variety of tasks such as scheduling, data entry, marketing, purchases, running business errands, and assist with day-to-day office operations.

Responsibilities

  • Assist Project Managers in the daily administrative activities
  • Assist Project Managers in the procurement process (i.e., contacting suppliers, requesting quotes, purchases)
  • Assist with social media updates – Facebook, Twitter, LinkedIn
  • Translate content from Spanish to English or vice versa
  • Coordinate and work with the marketing department located in the NJ office and PR
  • Ability to maintain professional client relations and interact with vendors on the company’s behalf
  • Order and maintain stock of company marketing and office supplies
  • Prepare time and expense reports
  • Attend reception area, answering phone calls and email management
  • Coordination with the firm’s remote IT support team
  • Assist in accounting area as needed
  • Other administrative duties as assigned

Physical Requirements:

  • Continually required to stand, walk, and sit
  • Continually required to utilize hand and finger dexterity
  • Continually required to talk or hear
  • Continually utilize visual acuity to operate office equipment
  • Occasionally required to bend, stoop, and/or kneel
  • Occasionally required to lift and carry items less than 25 pounds

Experience

  • 2+ years of office experience
  • Proficiency in Microsoft Office Suite
  • Must be able to multi-task and meet deadlines
  • Strong sense of responsibility and ability to complete tasks with minimal supervision and work well as part of a team
  • Must have excellent organization skills and strong attention to detail
  • Must have excellent written and verbal communication skills in both Spanish and English
  • Technical writing skills
  • Valid driver’s license and reliable means of transportation
  • Local travel required
  • Travel to project sites as needed
  • Certificate of Good Standing

Preferences

  • Bachelor’s Degree (preferred)
